What Confluence Integration Provides #

Confluence integration connects your bot to Atlassian Confluence, allowing access to your organization’s technical documentation, knowledge bases, and collaborative content. This integration is particularly valuable for organizations using Confluence as their primary documentation platform.

When Confluence Integration Is Most Effective #

This integration excels when your team maintains comprehensive technical documentation in Confluence, including user guides, process procedures, technical specifications, troubleshooting guides, and well-organized knowledge spaces. It’s especially beneficial for organizations with complex products or services that require detailed documentation.

Complete Integration Setup #

A. Access the Integration Panel: Navigate to the Build section, select Data Source from the sidebar, then choose Native Apps. Locate the Confluence option, identified by Atlassian’s blue mountain logo.

B. Initiate the Connection: Click the “Connect” button next to Confluence. This action will redirect you to Atlassian’s secure authorization system in a new browser window or tab.

C. Atlassian Authentication: Log into your Atlassian account using your credentials. If you have access to multiple Confluence sites, you’ll be prompted to select which site you want to connect with Chatbotbuilder.

D. Permission Review: Atlassian will display the specific permissions that ChatBot Builder is requesting. These permissions determine what content areas and types of information your bot will be able to access.

E. Grant Access Rights: Review the permission requirements and click “Allow” to grant Chatbotbuilder access to your selected Confluence site.

F. Configure Content Selection: Choose which Confluence spaces you want to include in your bot’s training. You can select entire spaces or drill down to specific pages for more granular control. Complete the authorization process and the bot training will begin. Once the training is complete, you will be able to see the data that your bot has been trained on under All Training Files.

Content Import Process #

A. What Gets Imported: The integration captures page content and text, maintains heading structures and organization, preserves links between related pages and documents, and includes automatically updated content when changes occur in Confluence.

B. Processing Timeline: Initial import time depends on the volume of content selected. Large spaces with extensive documentation may take 15-30 minutes or longer to fully process.

C. Content Verification: After import completion, verify that key pages and information have been successfully processed by testing your bot with relevant questions.

Security and Access Considerations #

A. Content Appropriateness: Only connect Confluence spaces that contain information appropriate for customer access. Avoid spaces with sensitive internal information, proprietary development details, or confidential business data.

B. Permission Alignment: Ensure that the content you’re sharing aligns with your organization’s information sharing policies and customer service guidelines.

C. Access Level Review: Regularly audit which Confluence spaces are connected to ensure continued appropriateness of shared content.

D. Data Security: Maintain awareness of what information is being shared and ensure it complies with your organization’s data security and privacy requirements.

Content Quality Management #

Documentation Standards: Select Confluence spaces that maintain high documentation standards with clear, well-structured, and current information.

Information Accuracy: Ensure that connected spaces contain accurate, up-to-date information that reflects current products, services, and procedures.

Content Maintenance: Establish processes for keeping Confluence content current, as outdated information will negatively impact your bot’s effectiveness.

Troubleshooting Common Issues #

A. Connection Problems: If you experience connection difficulties, verify your Atlassian account permissions and ensure you have appropriate access rights to the Confluence site you’re trying to connect.

B. Missing Content: If expected content doesn’t appear, check the page permissions within Confluence to ensure the content is accessible with your current permission level.

C. Synchronization Issues: If content updates aren’t reflecting in your bot, try disconnecting and reconnecting the integration to refresh the content import.

Optimization Best Practices #

A. Space Selection Carefully choose which Confluence spaces to connect, focusing on those most relevant to customer interactions and support.

B. Content Organization Maintain well-organized Confluence spaces with logical page hierarchies and clear navigation structures.

C. Regular Reviews Periodically review connected spaces to ensure they continue to provide value and contain current, accurate information.

D. Performance Monitoring Monitor how effectively your bot uses Confluence content by reviewing conversation logs and user feedback.
